Best Xero alternatives for US small businesses

US businesses look for a Xero alternative when their accountant works in another system, when plan limits or price changes bite, or when they need features like deeper job costing or payroll in one place. The main options are QuickBooks Online, Zoho Books, FreshBooks and, for larger finance teams, Sage Intacct; Zoti does not replace accounting software, but builds the operational tools that connect to it, starting at $499/month.

Why people look for a Xero alternative

Xero is a well-made cloud accounting system. It started in New Zealand, is very popular in Australia, New Zealand and the UK, and is used by plenty of US businesses who like its clean interface, bank feeds, reconciliation screen and large app marketplace.

In the US, the reasons to look elsewhere tend to be practical rather than about quality:

  • Your accountant or bookkeeper works mostly in QuickBooks and charges for the extra time in another system.
  • Plan changes or limits on things like invoices, bills or users push you to a higher tier than you expected.
  • You want payroll, payments and accounting from the same vendor, and the US payroll option you prefer integrates better elsewhere.
  • Job costing, project tracking or inventory needs more than the plan or add-ons you have handle comfortably.
  • A growing business with several entities, departments or approval rules needs a more involved finance system.

Accounting alternatives to Xero

These are established products sold today. Talk to your accountant first; switching is mostly their work and their preference matters.

  • QuickBooks Online: suits US small businesses that want the system most local accountants already know. The trade-off is pricing that rises with users and features.
  • Zoho Books: suits cost-conscious businesses, especially those using other Zoho apps. The trade-off is fewer US accountants who use it every day.
  • FreshBooks: suits service businesses and freelancers whose main job is invoicing and time tracking. The trade-off is less depth for inventory or multi-entity accounting.
  • Sage Intacct: suits growing companies with several entities, departments and a real finance team. The trade-off is a bigger implementation, usually through a partner.

Where custom software fits next to Xero

Be wary of anyone who suggests building your own accounting system. Tax handling, bank feeds, reconciliation, audit trails and year-end reports are exactly what Xero and its competitors do well, and rebuilding them is expensive and risky. Zoti does not recommend it for small businesses.

Before you switch ledgers, check where the pain really is. Very often the books are fine and the trouble is how data gets into them: invoices typed from job sheets, costs coded by hand, and month-end reports built in spreadsheets. Changing from Xero to QuickBooks does not fix any of that. Custom software that connects to Xero through its API usually does:

  • An operations or job system that creates invoices in Xero when work is completed or approved.
  • Purchase requests and bills that go through your approval steps before they reach the books.
  • Job or project profitability reports that combine Xero figures with hours and materials from your own system.
  • A customer portal showing invoices, statements and payment status pulled from Xero.
  • Tracking categories applied automatically, so reports by location or service line are accurate without manual coding.

How to switch away from Xero

  1. Agree the plan with your accountantChoose the new system together and decide whether to move full history or opening balances only.
  2. Pick the cutover dateUse the start of a month, quarter or fiscal year, and finish reconciling Xero up to that date.
  3. Export lists and reportsExport the chart of accounts, contacts, items, open invoices and bills, and save a trial balance and full reports as PDFs.
  4. Load and reconcileImport lists and opening balances, reconnect bank feeds, and confirm the new trial balance matches Xero.
  5. Repoint your appsMove payroll, payments, inventory and custom integrations to the new system, then keep Xero in read-only access for records.

Questions to answer before switching

  • Is your accountant asking for the change, or is it a feature gap?
  • Which apps connected to Xero today must work with the new system?
  • What will the new system cost with your real user count and add-ons such as payroll?
  • How much transaction history must be inside the new system rather than archived?
  • Would automating the work upstream of Xero remove the reason to switch at all?

Questions

Common questions

Is Xero or QuickBooks better for US small business?

Both are capable. QuickBooks Online is more common among US accountants, which often decides it. Xero is preferred by many for its interface and reconciliation, and is a strong choice if your accountant supports it.

What is cheaper than Xero?

Zoho Books and Wave can cost less for small businesses, depending on users and features. Compare at your real size, including payroll and payments, rather than headline prices.

Can I move from Xero to QuickBooks?

Yes. Lists and reports export from Xero, and conversion services and accountants handle full migrations regularly. Many businesses bring opening balances and keep Xero archived for history.

Should I build custom accounting software instead of using Xero?

Almost never. Accounting software covers tax, reconciliation and reporting that are costly to rebuild and maintain. Build custom tools for your operations and connect them to Xero instead.

Can custom software integrate with Xero?

Yes. Xero has a public API, so custom tools can create invoices and bills, sync contacts and read payment status. Zoti builds these integrations as part of custom projects, starting at $499/month.
