API integration services

API integration services connect the software your business already uses, such as your CRM, accounting, payments, booking and industry tools, so data moves between them automatically instead of being copied by hand. Zoti builds custom API integrations for small and growing businesses, starting at $499/month.

What API integration services do, in plain terms

Most business software has an API, a doorway that lets other software read and write its data. An integration is a small program that sits between two or more of your tools, watches for changes, and passes the right information across in the right format.

The result is that when a deal closes in your CRM, the customer appears in QuickBooks. When someone books online, the job shows up on the technician’s schedule. When an order ships, the customer gets a text with tracking. Nobody copies anything, and nothing gets forgotten.

Good API integration services also cover the unglamorous parts: deciding which system is the source of truth for each piece of data, handling the API limits each vendor sets, and keeping a log so that when someone asks why an invoice is missing, there is an answer in minutes rather than an afternoon of digging.

Integrations we commonly build

  • CRM to accounting: new customers, invoices and payments kept in sync between tools like HubSpot or a custom CRM and QuickBooks Online or Xero.
  • E-commerce to fulfilment: Shopify or WooCommerce orders sent to a warehouse, 3PL or production system, with tracking sent back.
  • Booking to operations: appointments from an online booking tool turned into jobs, crew assignments and reminders.
  • Payments to records: Stripe or Square payments matched to the right customer, invoice or membership.
  • Forms and ads to CRM: leads from website forms, Facebook and Google ads routed to the right salesperson within seconds.
  • Industry software to everything else: the specialist tool your trade relies on, connected to the general tools around it.

Custom API integration vs. Zapier, Make and iPaaS

For simple, low-volume connections, Zapier and Make are excellent. If you need “when a form is submitted, add a row to a sheet and send an email,” set up a Zap and move on. We would tell you the same.

Custom API integration earns its keep when the connection carries real business logic or volume:

  • The data needs matching or transforming, such as finding the existing customer instead of creating a duplicate.
  • Errors matter, so a failed sync needs to retry, alert someone and never silently drop a record.
  • Volume is high enough that per-task pricing becomes a meaningful monthly bill.
  • One of the tools has an API but no ready-made connector on any automation platform.
  • You need a history of what synced and when, for troubleshooting or audits.

What about enterprise iPaaS?

Enterprise integration platforms such as MuleSoft, Boomi and Workato solve these problems for large companies, but their licensing and setup are sized for IT departments. A custom integration gives a smaller business the same reliability for the handful of connections it actually needs.

A mix is also fine. Plenty of businesses keep Zapier for small personal automations and move the two or three connections the business truly depends on to a custom integration.

How we build an integration

  1. Trace the dataWe follow one real record, such as an order or a new client, through every tool it touches today.
  2. Check the APIsWe review each tool’s API, its limits and what it allows, and flag anything that needs a workaround before we commit.
  3. Write the rulesTogether we agree which system wins when data conflicts, what to match on, and what should happen when something fails.
  4. Build and test with real dataWe build the integration and run it against test accounts or a copy of your data before it touches live records.
  5. Monitor and maintainOnce live, the integration is hosted and watched, and we update it when a vendor changes their API.

What it costs

Zoti custom projects start at $499/month, covering design, development, hosting and ongoing changes. That last part matters for integrations, because vendors change their APIs and an unmaintained integration eventually breaks. The price depends on how many systems are connected and how much logic sits between them, and you get a written quote first.

Questions

Common questions

What are API integration services?

API integration services build and maintain the connections between your business software, so information like customers, orders, invoices and appointments moves between tools automatically.

Should I use Zapier or a custom API integration?

Use Zapier or Make for simple, low-volume tasks. Choose a custom integration when the data needs real matching or transformation, when failures must be caught and retried, when per-task pricing gets expensive, or when no ready-made connector exists.

Can you integrate software that does not have a Zapier connector?

If the software has an API, yes. Many industry tools have APIs but no automation-platform connector. Where there is no API at all, we look at alternatives such as scheduled file exports or webhooks.

What happens when one of the connected apps changes its API?

We monitor integrations and update them when vendors change or retire API versions. That maintenance is covered by your monthly plan rather than billed as an emergency.

How much does a custom API integration cost?

Zoti custom projects start at $499/month, which covers building, hosting and maintaining the integration. The final price depends on the number of systems and the complexity of the rules, set out in a written quote.
