Building an API vs. connecting to one

These two get mixed up, so it is worth separating them. API integration means connecting tools you already use, like linking your CRM to QuickBooks, using the APIs those vendors provide. API development means building a new API of your own, so that other people and other software can connect to you.

You need your own API when your business holds data or does something that others want to plug into, and email, spreadsheets and CSV uploads are no longer a workable way to share it.

Many projects need both. A business might build its own API for partners and, behind it, integrate with the accounting and inventory tools that hold the actual data. We keep the two separate in planning so it is clear what you are building and what you are connecting to.

When a small business needs its own API

  • A distributor whose retailers want live stock levels and pricing in their own systems instead of a weekly spreadsheet.
  • A logistics or courier company whose clients want to create shipments and pull tracking from their own software.
  • A business launching a mobile app, which needs a back-end API for the app to talk to.
  • A company with a product other businesses want to embed, such as a booking engine, quoting tool or pricing calculator.
  • A firm that sends and receives data from many partners and wants one standard way in, rather than a custom file format per partner.
  • A software product that needs to offer integrations to its own customers.

What goes into a well-built API

An API is a promise to everyone who connects to it, so it has to be designed carefully and changed carefully. A good one includes:

  • Clear endpoints that match how your business thinks about its data: orders, customers, products, bookings.
  • Authentication with API keys or OAuth, so each partner has their own credentials that can be revoked.
  • Permissions that limit each partner to their own records and the actions they are allowed to take.
  • Rate limits that stop one heavy user from slowing things down for everyone else.
  • Webhooks that notify partners when something changes, so they are not constantly asking.
  • Readable documentation and a sandbox where developers can test without touching live data.
  • Versioning, so you can improve the API without breaking integrations partners have already built.
  • Logging and monitoring, so problems are spotted and traced quickly.

How our API development services work

  1. Understand who will use itWe talk through who connects to the API, what they need to do, and how technical they are.
  2. Design the API firstWe write the API specification, usually in the OpenAPI format, and share it with you and a friendly partner before building.
  3. Build and secureWe build the endpoints, authentication, permissions and rate limits in rounds you review.
  4. Document and testWe publish documentation and a sandbox, and test with real partner scenarios before going live.
  5. Launch and supportWe host and monitor the API and add new versions as partners ask for more.

Off-the-shelf shortcuts and their limits

Some platforms expose their own API automatically. If your data already lives in Airtable, Shopify or a CRM, partners may be able to use that vendor’s API directly, and for a handful of trusted partners that can be enough. Tools that auto-generate an API from a database can also speed up internal projects.

The limits show up when you need to control exactly what each partner sees, combine data from several systems behind one clean interface, or keep the API stable while your internal tools change. That is when a purpose-built API pays off.

What it costs

Zoti custom projects start at $499/month, covering design, development, hosting and ongoing changes. The price depends on how many endpoints the API needs, how many systems sit behind it and how many partners will use it. You get a written quote before any work begins.

Questions

Common questions

What is the difference between API development and API integration?

API development is building your own API so others can connect to your business. API integration is connecting existing tools you use through the APIs their vendors already provide. Many projects involve both.

Do I need an API for my mobile app?

Almost always. A mobile app needs a back end to store data, handle logins and talk to your other systems, and that back end is usually an API built for the app.

Is REST or GraphQL better for a business API?

REST is the most widely understood and the easiest for partners to use, so it is our default for partner-facing APIs. GraphQL can suit internal apps that need flexible queries. We recommend one based on who will use it.

How do you keep an API secure?

Each partner gets their own credentials, permissions limit them to their own data, all traffic is encrypted, requests are rate limited and logged, and credentials can be revoked at any time.

How much does API development cost?

Zoti custom projects start at $499/month, which covers design, development, documentation, hosting and ongoing changes. The final price depends on the size of the API and is set out in a written quote.
