Custom fleet management software
Fleet management software keeps track of a business’s vehicles and drivers: where each vehicle is, when it needs service, what it costs to run, and whether drivers and inspections are up to date. Zoti builds custom fleet management software around your own vehicles, rules and existing trackers, starting at $499/month.

What fleet management software needs to do
A fleet is one of the biggest costs most service, delivery and construction businesses carry, and it is often tracked across a GPS website, a maintenance spreadsheet, a fuel card portal and a folder of paper inspections. Fleet management software pulls that into one view. The usual features:
- A vehicle and equipment register: VIN, plates, registration and insurance dates, assigned driver and documents.
- Live GPS tracking on a map, with trip history, idle time, speeding and after-hours use.
- Preventive maintenance schedules by mileage, engine hours or date, with reminders before service is due.
- Work orders and repair history per vehicle, including parts, labor and outside shop invoices.
- Driver vehicle inspection reports on a phone, with photos of defects and a hand-off to maintenance.
- Fuel tracking, imported from fuel cards, with cost per mile and unusual purchases flagged.
- Driver records: licenses, medical cards, training and expiry dates, with alerts before anything lapses.
- Reports on total cost of ownership, downtime, utilization and which vehicles are due for replacement.
Telematics platforms vs custom fleet management software
Telematics companies such as Samsara, Motive, Verizon Connect and Geotab sell GPS hardware with fleet software attached, and for many fleets that is the right setup. They are strong on tracking, driver safety and, for regulated trucking, hours of service and electronic logging. If you mainly need to see where trucks are and coach drivers, start there.
Custom fleet management software is not usually a replacement for the tracking hardware. It is what you build on top when the vendor portal does not fit how you run the fleet:
- You run a mixed fleet of trucks, trailers, vans, heavy equipment and small engines, and the software only handles part of it.
- You have trackers from two or three vendors after acquisitions or upgrades, and no single view of everything.
- Maintenance is done in-house and you need real work orders, parts inventory and mechanic time, not just reminders.
- Vehicles need to be tied to jobs, customers or projects so you can bill usage or see true job cost.
- Inspections, permits or customer requirements go beyond what the standard forms cover.
What we build into custom fleet management software
- One fleet dashboard pulling location and engine data from your existing trackers through their APIs, whatever brand they are.
- A GPS tracking map with geofences around yards, job sites and customer locations, and alerts when vehicles enter or leave.
- A fleet management app for drivers: pre-trip and post-trip inspections, defect photos, fuel entries and document uploads.
- Maintenance scheduling and work orders connected to your shop, parts and outside vendors.
- Integrations with fuel cards, accounting, payroll, dispatch and your job management system.
- Data exports for the reports your insurer, auditor or accountant asks for, such as mileage by state if you file fuel tax reports.
- AI where it is useful: reading paper repair invoices into the system, spotting vehicles whose fuel or repair costs are drifting up, or summarizing inspection defects for the shop.
How a fleet management software project works
- Inventory the fleet and the dataWe list every vehicle and asset type, every tracker and fuel card, and every spreadsheet that holds fleet data today.
- Check the integrationsWe confirm what each tracker and fuel card provider makes available through its API before promising anything built on it.
- Design the screensYou click through the dashboard, driver app and maintenance screens before code is written.
- Build in roundsThe vehicle register and tracking come first, then inspections, maintenance and fuel, each round reviewed by you.
- Import history and launchWe bring over service history and documents, train drivers and the shop, and keep improving after launch.
Industries that lean on fleet software
Logistics and trucking companies are the obvious fit, but fleet costs matter just as much to construction firms with yellow iron spread across job sites, utilities with service trucks and bucket trucks, landscaping companies running trailers and mowers, and equipment rental businesses that need to know where every unit is and how hard it has been used.
If you are subject to federal or state transportation rules, the software can store and surface the records, but you remain responsible for meeting the rules themselves. Check requirements with your compliance advisor.

Common questions
What is fleet management software?
Fleet management software tracks a company’s vehicles and drivers in one place: GPS location, maintenance schedules, repairs, inspections, fuel spending and driver documents, with reports on cost and downtime.
Do I need new GPS trackers for custom fleet management software?
Usually not. Most major telematics providers offer an API, so a custom system can pull data from the trackers you already have. We check what each provider exposes before building on it. If you have no trackers yet, we can help you choose ones with good data access.
Is there a fleet management app for drivers?
Yes. A custom build typically includes a driver app for iPhone and Android with inspections, defect photos, fuel entries, assigned vehicle details and document uploads.
What is the best fleet management software for a small business?
For a small fleet that mainly needs tracking, an off-the-shelf telematics product is usually the simplest option. Custom software is worth it when you have mixed vehicles and equipment, multiple tracker brands, in-house maintenance, or need fleet costs tied to jobs and customers.
How much does custom fleet management software cost?
Zoti custom projects start at $499/month, including design, development, hosting and ongoing changes. The price depends on the size of the fleet, the integrations needed and how much history we import, and you get a written quote first.
