Custom software for hotels

Custom hotels software handles the work your property management system does not do well: a guest CRM for direct rebooking, group and wedding blocks, housekeeping and maintenance tracking, upsells and staff communication. Most hotels keep their PMS and channel manager, and Zoti builds the connected tools around them, starting at $499/month.

The daily problems hotels software should solve

A hotel is several businesses under one roof: rooms, housekeeping, maintenance, food and beverage, events and sales. The PMS keeps the room inventory and the folio, but much of the coordination around it still runs on radios, whiteboards and email chains.

What we see at independent and boutique properties:

  • Housekeeping status is tracked on paper, so the front desk cannot tell an early arrival when their room will be clean, and rooms marked clean are not always inspected.
  • Maintenance issues are reported by text or radio and forgotten. The same broken ice machine or running toilet comes up in reviews twice.
  • Group blocks for weddings, tournaments and corporate stays are managed in spreadsheets: rooming lists, cutoff dates, attrition and who is paying for what.
  • Online travel agencies bring guests in, but the property has no easy way to recognize returning guests and win the next booking directly.
  • Shift hand-offs at the front desk depend on a logbook, so a promised late checkout or a noise complaint gets lost overnight.
  • Owners of two or three properties cannot see occupancy, ADR and open issues across them without logging into several systems.

What we build for hotels

  • Hotel CRM: guest profiles built from PMS stays, preferences, special occasions and stay history, with segments for direct rebooking emails and offers.
  • Housekeeping app: room boards by floor, priority for early arrivals, inspection checklists and status that syncs back to the front desk.
  • Maintenance and work orders: issues logged by any staff member with a photo, assigned, tracked to done, plus preventive schedules for HVAC, pools and elevators.
  • Group and event blocks: rooming lists, cutoff reminders, attrition tracking and a portal where the planner or couple can see and update their block.
  • Guest messaging and upsells: pre-arrival messages, early check-in, parking, late checkout and add-ons, connected to the folio.
  • Front desk log and shift notes, searchable by room and guest.
  • Multi-property dashboards: occupancy, rate, open work orders and review trends across properties.
  • AI phone and chat answering for directions, parking, amenities, pet policy and availability questions, handing off to staff for anything that needs a person.

Hotel management software vs custom

You will almost certainly keep a commercial PMS. Cloudbeds, Mews and Oracle OPERA Cloud are widely used, and they handle reservations, rates, folios, night audit and payment card handling, which is not something you want to rebuild. Channel managers such as SiteMinder distribute your rates to the online travel agencies. These systems are good at the core of hotel operations.

Custom software makes sense around them: when your PMS has a marketplace add-on that almost fits but not quite, when you run a property type with odd needs (a resort with activities, an inn with a restaurant and event barn, extended-stay units), or when you want guest data you own and can use for direct booking. We connect through the PMS and channel manager APIs, so reservations stay in one source of truth.

One point worth knowing: anything that touches card data has to follow PCI rules, so we design custom tools to let your PMS and payment processor handle cards rather than storing them ourselves.

How a hotel software project works

  1. Walk the propertyWe spend time with the GM, front desk, housekeeping lead and maintenance, and follow a room from checkout to inspected.
  2. Check the integrationsWe confirm what your PMS, channel manager and door lock systems allow through their APIs before promising anything.
  3. Design the screensYou and your team click through the housekeeping, desk and manager views on the devices they will use.
  4. Build in roundsWe launch one workflow first, often housekeeping or maintenance, and add the next once the team is using it.
  5. Train and supportShort training for each department, then ongoing changes as seasons, staff and the property change.

Where AI helps a hotel

The useful AI jobs at a hotel are narrow and practical: answering the same 30 guest questions by phone and text at 2am, drafting replies to reviews for a manager to edit, summarizing the overnight log for the morning shift, and sorting maintenance requests by urgency. Each one is built on your own policies and data, and a person stays in charge of anything involving money or a complaint.

We also build for salons and spas, event venues, golf courses and campgrounds businesses in hospitality & leisure.

Questions

Common questions

What is the best software for hotels?

For the core, choose a PMS that fits your size and property type, and test it with your own night audit and group workflows. Cloudbeds, Mews and OPERA Cloud serve different sizes of property. Add custom software only for the parts your PMS and its add-ons do not handle well.

Can you build a custom hotel CRM?

Yes. A hotel CRM pulls guest and stay data from your PMS, adds preferences and notes from staff, and lets you send targeted offers to past guests so more of them book direct next time.

Will custom hotels software replace my PMS?

Usually not. We connect to your PMS through its API and keep it as the system for reservations, rates and folios. The custom tools handle housekeeping, maintenance, groups, CRM and reporting around it.

Can you build a housekeeping app for a small hotel?

Yes. A housekeeping app can show room status, priorities for early arrivals and inspection checklists on a phone, and update the front desk the moment a room is ready.

How much does custom hotel management software cost?

It depends on how many workflows and integrations you need. Zoti’s custom projects start at $499/month, covering design, development, hosting and ongoing changes, with a written quote before work starts.
