Custom software for appraisers and appraisal firms

Custom appraisers software runs the business side of an appraisal practice: taking orders from AMCs, lenders and private clients, scheduling inspections, collecting field data on a phone or tablet, organizing workfiles, and tracking due dates, revisions and payments. Zoti builds it to work alongside the forms software you already use, starting at $499/month.

What fills an appraiser’s week

For most residential appraisers, the report is not the bottleneck. The orders are. Requests arrive from several appraisal management companies, a few direct lenders, attorneys handling estates and divorces, and homeowners disputing a tax assessment. Each one has a different fee, due date, portal and set of instructions. Accepting, scheduling and tracking them is a part-time job on its own.

Then come the inspections: calling the borrower or listing agent, coordinating access, driving a route that makes sense, measuring and photographing, and getting the notes back into the report. After delivery, revision requests and reconsiderations of value arrive with their own deadlines. Commercial and specialty appraisers have longer assignments but more research, more data sources and more back and forth with clients. A firm with several appraisers and trainees also needs to track who is assigned what and who signs off.

What we build into appraisers software

  • Order intake: one queue for every order, whether it arrives from an AMC portal, email or your own website, with fee, due date, product type and client instructions.
  • Inspection scheduling: contact attempts logged, appointments set, and daily routes grouped by area to cut drive time.
  • Field app: a phone or tablet app for measurements, sketches, photos and condition notes that works without signal and syncs later.
  • Workfile organization: every document, photo, comparable and communication stored against the assignment, retained according to your policy.
  • Revision and due-date tracking: alerts for orders at risk of going late and for revision requests waiting on you.
  • Client and fee management: fee schedules per client, invoices for direct work, and reports on which clients pay slowly.
  • Trainee and reviewer workflow: assignments, review notes and sign-off steps for firms with supervisory appraisers.
  • Private client intake: an online order form and payment for estate, divorce, tax appeal and pre-listing appraisals.

Forms software vs. custom business software

Appraisers already rely on established report and forms software, such as a la mode’s TOTAL, ACI and Bradford’s ClickFORMS, for building and delivering reports. Those tools are built around industry forms and data standards, and we would not suggest replacing them.

Custom software covers the parts they do not: pulling every order source into one place, scheduling and routing inspections, running a multi-appraiser office, collecting field data your way, and tracking the business numbers. It works next to your forms software, and can pass data into it where that software allows.

Record keeping and independence

Appraisers have record keeping duties under USPAP, including keeping a workfile for each assignment for a required period, and lender work comes with rules about appraiser independence and communication with the parties to a loan. State appraiser boards add their own licensing and supervision rules, which vary by state.

Software helps by keeping every workfile complete and retrievable, logging all communication on an assignment, and keeping notes in one place instead of scattered across email and phones. We build the system to support your own policies; the professional and legal obligations remain yours, and this is not legal advice.

How a project works

  1. Map your ordersWe list every order source, product type and step from acceptance to payment, including revisions.
  2. Design the office and field viewsYou click through the order queue and the field app before any code is written.
  3. Build in roundsOrder intake and scheduling usually go first, then the field app and workfiles.
  4. Bring in your historyWe import clients, fee schedules and past assignments so nothing starts from zero.
  5. Launch and adjustThe monthly plan covers changes as clients, products and forms change.

We also build for interior designers, private investigators, process servers and surveyors businesses in professional services.

Questions

Common questions

What is the best software for appraisers?

For writing reports, most residential appraisers use established forms software, and the best one depends on your work and habits. For running the business around the reports, such as orders, scheduling, field data and workfiles, many appraisers use a mix of tools and spreadsheets. Custom software is worth considering when that mix stops keeping up.

Can custom software pull orders from AMC portals?

It depends on the portal. Some send orders by email in a consistent format we can read, and some offer ways to connect. Where neither exists, the system can make manual entry quick. We check each of your sources during planning.

Does the field app work without a signal?

Yes. We build field apps to save measurements, photos and notes on the device and sync when the connection returns, since rural and basement inspections often have no service.

How much does custom appraisers software cost?

With Zoti, custom projects start at $499/month, covering design, development, hosting and ongoing changes. The price depends on scope, such as office tools only or a field app too, and you get a written quote first.

Will it replace my forms software?

No. Your forms software stays for building and delivering reports. The custom system handles orders, scheduling, field work and records around it.
