Airtable consultant and developer
An Airtable consultant designs and cleans up Airtable bases, builds automations, scripts and interfaces, and connects Airtable to the rest of your tools so the team stops copying data by hand. Zoti offers Airtable consulting and development for small and growing businesses, and moves you to custom software when Airtable is outgrown, starting at $499/month.

What Airtable is good at
Airtable looks like a spreadsheet but works like a database. Each base holds tables with typed fields, and records can link to each other, so a project can link to its client, its tasks and its invoices without copying data. Views filter and group the same data as grids, kanban boards, calendars and galleries, and Interfaces turn a base into simple app-like screens for people who should not see the raw tables.
On top of that, Airtable has built-in automations (when a record changes, send an email or update another record), a JavaScript scripting option for custom logic, a REST API and webhooks, and syncing between bases. That is why so many small teams run real operations on it: it is fast to set up and the people who know the process can change it themselves.
When Airtable is the right choice, and when it is not
- Right choice: a small team tracking projects, content, inventory, applicants or orders, where the process still changes often.
- Right choice: replacing a shared spreadsheet that has become a mess, without committing to custom software yet.
- Not ideal: many outside users such as customers or contractors who need their own logins and should only see their own records. Portal tools on top of Airtable help, but permissions get complicated.
- Not ideal: large data. Bases have record limits depending on plan, and big bases with many linked and lookup fields slow down.
- Not ideal: complex logic, such as pricing rules, scheduling or multi-step approvals. It can be done with scripts and automations, but it becomes fragile and hard to follow.
- Compared with Smartsheet, Notion databases or Google Sheets, Airtable is the strongest at relational data. Compared with a custom app, it is faster to start and harder to scale.
What we build as your Airtable consultant
- Base design or redesign: the right tables, linked records and field types, so data is entered once and reports add up.
- Cleanup of bases that grew without a plan: duplicate tables, broken lookups, formula fields nobody understands.
- Automations and scripts for status changes, reminders, document generation, record creation and data checks.
- Interfaces for each role, so staff see a simple screen instead of the whole base.
- Integrations with your CRM, accounting, forms, email and calendar tools through the Airtable API and webhooks.
- Custom portals and apps that read and write Airtable data for clients or field staff.
- Migration from Airtable to a custom web app with a proper database when the base has hit its limits.
Hiring an Airtable consultant or developer
- Freelance Airtable consultant: good for a base redesign or a set of automations. Many are not developers, so custom portals or complex integrations need extra help.
- Do it yourself: Airtable is genuinely learnable, and many bases are best owned by the team. The risk is a base that only one person understands.
- In-house operations or no-code specialist: worth it if several tools like Airtable run the business. They often stop where code begins.
- Zoti’s monthly team: a project manager and developers who can improve your Airtable setup now and build custom software when it is time, on a plan from $499/month with ongoing changes included.
How an Airtable project works
- Review the base and the processWe go through every table, field, automation and integration with the people who use them.
- Decide: fix or moveWe tell you honestly whether Airtable can carry the next few years of growth or whether custom software is the better route.
- Restructure safelyChanges are made on a copy of the base first, so daily work is not disrupted.
- Automate and connectWe add automations, scripts, interfaces and integrations, testing each with real records.
- Document and supportThe base is documented in plain English, and your plan covers changes and help afterwards.
More no-code & automation software: zapier and n8n, webflow, bubble and retool.
Common questions
What does an Airtable consultant do?
An Airtable consultant designs or restructures your bases, sets up automations, scripts and interfaces, connects Airtable to other software, and trains your team to maintain it.
How much does an Airtable consultant cost?
It depends on how many bases, automations and integrations are involved. Many consultants charge hourly or per project. Zoti works on monthly plans from $499/month, with a written quote before work starts.
When have we outgrown Airtable?
Common signs are hitting record or automation limits, bases slowing down, needing customers or contractors to log in with strict permissions, and logic held together by many scripts. At that point a custom web app is often simpler.
Can Airtable be used as a backend for an app?
For small internal tools and prototypes, yes, through its API. For customer-facing apps with many users or heavy traffic, API rate limits and record limits make a proper database the safer choice.
Can you move our Airtable base to custom software?
Yes. We map the tables, links, formulas and automations, rebuild them as a custom web app with a real database, import all records and check that the numbers match before you switch.
