AI agents for business

AI agents for business are software assistants that read incoming information, decide what to do with it and take action in your systems, such as answering a customer, updating a record or flagging something for a person. Zoti builds custom AI agents for small and growing businesses that answer, sort, follow up and report, starting at $499/month.

What an AI agent actually is

A chatbot answers questions. An AI agent does work. It reads an email, a form, a message or a document, works out what it is and what should happen next, and then carries out that step: it looks something up, writes a reply, creates a task, updates your CRM or hands the case to the right person with a short summary.

The useful part is not the conversation, it is the connection to your systems. An agent that can only talk is a novelty. An agent that can check an order status, book a slot on a calendar and log what it did is a member of staff that handles the boring half of a job, around the clock, without getting tired of the same question.

Examples of AI agents for business

Most of the agents we are asked about fall into a handful of patterns:

  • Inbox triage: an agent reads the shared inbox, tags each email by type and urgency, drafts replies for the common ones and routes the rest to the right person.
  • Lead follow-up: new web leads get a personal reply within minutes, a few qualifying questions and a booked call, with everything written back to the CRM.
  • Customer support: an agent answers order, shipping and account questions from your own help articles and order data, and escalates anything it is unsure about.
  • Internal helper: staff ask “what is our refund policy for custom orders?” or “where is the Henderson file?” and get an answer drawn from your own documents.
  • Weekly reporting: an agent pulls numbers from your tools every Monday, writes a plain-English summary of what changed and sends it to the owners.
  • Back-office checks: an agent reviews new jobs, orders or applications for missing information and chases the customer before a person ever has to.

Custom AI agents vs. off-the-shelf tools

There are plenty of ready-made options. ChatGPT or Claude used by hand is a good way to see what AI can do with your work, but someone still has to copy information in, paste results out and remember to do it. Help desk tools such as Intercom and Zendesk now include AI answer bots that work well for straightforward support on their own platform. Automation tools like Zapier and Make can add an AI step to a workflow.

A custom agent makes sense when the work crosses several systems, follows rules specific to your business, or needs to act rather than just reply. It is built around your data, your wording and your hand-off rules, and it does not lock you into one vendor’s platform. If a ready-made tool covers the job, we will say so.

Honest limits, and how we design around them

AI agents make mistakes. They can misread an unusual request, sound confident about something that is wrong, or miss context a person would catch. Good agent design assumes this from the start rather than hoping it will not happen.

  • Clear boundaries: the agent only does the tasks it is built for, and hands everything else to a person.
  • Human review where it matters: refunds, pricing, legal or medical questions and anything unusual can be set to wait for approval.
  • A full log: every action the agent takes is recorded, so you can see what it did and why.
  • Your data stays scoped: the agent only gets access to the systems and records it needs, and we discuss with you which AI services handle your data before anything goes live.
  • Gradual rollout: agents start by drafting for people to approve, and take on more only once the results are trusted.

How we build an AI agent

  1. Map the jobWe sit with the people doing the work today and write down every step, rule, exception and hand-off.
  2. Pick the first sliceWe choose the part with the most volume and the least risk, so the agent earns its keep early.
  3. Design the flowYou see clickable screens and sample conversations or outputs before any code is written.
  4. Build and test on real examplesWe test the agent against your own past emails, forms or tickets and review the results with you.
  5. Launch with review, then widenThe agent goes live with people checking its work, and takes on more as you gain confidence.

What a custom AI agent costs

Zoti custom projects start at $499/month on a monthly plan that covers design, development, hosting and ongoing changes. The price depends on how many systems the agent connects to, how many tasks it handles and how much review tooling your team needs. AI usage fees from the model provider depend on volume, and we explain them up front. You get a written quote before any work begins.

Questions

Common questions

What can AI agents do for a small business?

They take on repetitive work that still needs some judgment: answering common customer questions, sorting emails and forms, following up on leads, chasing missing information and writing regular reports. People stay in charge of anything unusual or high-stakes.

How much does it cost to build an AI agent?

With Zoti, custom projects start at $499/month, covering design, development, hosting and ongoing changes. The exact price depends on scope and integrations, and you get a written quote before work starts.

Is an AI agent different from a chatbot?

Yes. A chatbot mostly answers questions. An AI agent can also act: update records, book appointments, send follow-ups and pass work to the right person, all inside the systems you already use.

Can AI agents make mistakes?

Yes, and any honest provider will tell you so. That is why agents should have clear limits, log every action and send unusual or high-stakes cases to a person. Many start by drafting work for approval before acting on their own.

Will an AI agent work with our existing software?

Usually, yes. Agents connect to CRMs, inboxes, calendars, help desks, accounting tools and databases through their APIs. If a tool has no API, we look at other options such as email or file exports during planning.
