Legacy software modernization for small businesses

Legacy software modernization means replacing or rebuilding old business software, such as a desktop program, an Access database or an aging PHP app, so it runs on current technology without losing the data and rules your business depends on. Zoti modernizes legacy systems for small and mid-sized businesses as custom web apps, starting at $499/month.

What counts as legacy software in a small business

Legacy does not have to mean a mainframe. In most small and mid-sized businesses it is something more ordinary: the program that has quietly run a core part of the business for ten or fifteen years and that everyone is now a little afraid of.

Common examples we see:

  • A Microsoft Access database that started as one person’s project and now runs scheduling, inventory or job tracking for the whole office.
  • A desktop program installed on a few specific PCs, sometimes written in Visual Basic 6, FoxPro or Delphi, that only works on an old version of Windows.
  • A PHP web app built years ago by a freelancer who is no longer reachable, running on a PHP version that stopped getting security updates long ago.
  • A server in a back closet that hosts the database, the shared drive and the app, with backups nobody has tested.
  • Industry software from a vendor that was acquired, stopped updating it, or now charges a lot to keep supporting it.

Why legacy system modernization becomes urgent

Old software rarely fails all at once. It gets riskier a little at a time, until a small event becomes a big problem. A Windows update breaks the program. The one employee who knows how it works gives notice. The server’s hard drive starts making noises. A customer asks for a portal and the system has no way to provide one.

The costs also hide in plain sight. Staff re-type data from the old system into newer tools, people have to be in the office to use it, and every new hire takes longer to train because the screens make no sense. Modernizing is usually less about chasing new technology and more about removing a single point of failure that the business has been living with for years.

Your options: keep, move, rebuild or replace

Not every old system needs a full rebuild. There are four honest options, and the right one depends on how well the current software still fits your process:

  • Keep it and protect it: move it to a supported machine, set up tested backups, and document how it works. Cheap, but it only buys time.
  • Move it to the cloud as is: run the same program on a hosted server so it is no longer tied to the closet. Fixes the hardware risk, not the software risk.
  • Rebuild it as a web app: recreate the screens, rules and data in modern software, improving what never worked along the way. Best when the process is specific to your business.
  • Replace it with an off-the-shelf product: switch to a SaaS tool built for your industry. Often the right call when your process is standard and a good product already exists.

How legacy software modernization works

  1. Take inventoryWe look at the current software, its database, reports and any files it exports, and list everything it actually does.
  2. Interview the people who use itWe sit with your staff to catch the workarounds and unwritten rules that never made it into any manual.
  3. Design the new versionYou click through screens for the new system before code is written, so you can see what changes and what stays familiar.
  4. Build in roundsWe build the most important parts first and you review each round, so the new system is usable early rather than all at the end.
  5. Move the data and run bothWe migrate your records, compare reports against the old system, and let your team run both until the numbers match.
  6. Retire the old systemOnce you are confident, the old software is switched off and archived, with a read-only copy kept if you need it.

What you get at the end

  • A web app that works from any browser, in the office, at home or on a tablet in the field.
  • Your existing records, history and customer data brought across and checked.
  • Logins and permissions for each person instead of a shared password on one PC.
  • Hosting, backups and security updates handled for you.
  • The ability to add portals, integrations and automations that the old system could never support.

What modernization costs

A legacy rebuild used to mean a large upfront project quote. Zoti works on monthly plans instead: custom projects start at $499/month, covering design, development, hosting and ongoing changes. Price depends mainly on how much the old system does, how messy its data is and what it needs to connect to. You get a written quote before any work starts, after we have mapped out what the current system does.

Questions

Common questions

Can you convert a Microsoft Access database to a web app?

Yes. We rebuild the tables, forms, queries and reports from the Access file as a web app with a proper database behind it, import your existing records, and check the results against the original before you switch.

What if nobody has the source code for our old software?

That is common. We work from the running program, its database and the people who use it every day. The database usually holds most of what we need, and watching the screens in use fills in the rest.

Should we rebuild our legacy system or buy off-the-shelf software?

If your process is standard for your industry and a well-supported product already does it, buying is often cheaper. If the old system exists because your process is unusual, a custom rebuild usually fits better and costs less than forcing a generic tool to work.

Will we lose data when we move off the old system?

The migration is planned so you do not. We copy the data, compare record counts and key reports between the old and new systems, and keep a read-only archive of the old data after launch.

How much does legacy system modernization cost?

Zoti custom projects start at $499/month, which covers design, development, hosting and ongoing changes. The exact price depends on the size of the old system and how much data needs to move, and is set out in a written quote first.
